Late Arrival Policy

At our office, we do our best to accommodate late arrivals when our schedule allows. If your child is scheduled for a treatment visit and arrives late, we may need to adjust or shorten the planned procedure depending on the time remaining. Please note that patients arriving more than 10 minutes past their scheduled time may need to have their appointment rescheduled or canceled. If your family has two or more missed appointments—whether due to late arrival, a no-show, or insufficient cancellation notice—you may lose the ability to pre-book future visits. In such cases, appointments may only be made on a same-day basis, depending on availability.

Cancellation & No-Show Policy

In order to provide timely care to all our patients, we kindly ask that you keep your scheduled appointments or provide at least 24 hours’ notice if you need to cancel. We understand that illnesses and emergencies happen, but last-minute cancellations or missed appointments leave unused time that could have helped another child.

If an appointment is canceled with less than 24 hours’ notice or you fail to show up, a non-refundable fee of $50.00 will apply.

  • New Patients: If the first scheduled visit is missed for any reason (late, no-show, or short-notice cancellation), future appointments cannot be booked in advance. Your child may only be seen on a same-day basis, if time allows.
  • Established Patients: After two missed appointments, scheduling privileges will also shift to same-day only, pending availability.

If your child is able to be seen on a same-day basis and the appointment is kept, your family may regain the ability to schedule in advance. However, any additional missed visits will result in reverting back to same-day-only scheduling.

Missed Appointment Policy for Medicaid Patients

We’re proud to offer care to Medicaid families in Weld County. However, due to the high demand for Medicaid dental services and limited appointment slots, it’s essential that scheduled visits are kept.

Our Medicaid policy is as follows:

  • We will schedule one appointment per child.
  • If a scheduled visit is missed without giving 24-hour notice, we will be unable to offer any additional appointments.
  • If your child is scheduled for hospital-based treatment or general anesthesia and the appointment is missed, no future scheduling will be allowed.

All missed Medicaid appointments are reported accordingly and may be reflected on the Colorado Medicaid platform. We kindly ask that you only schedule appointments you are confident you can keep, so we can continue to serve as many families as possible.
